How to Detect Duplicate Content in Your Knowledge Base
As your documentation grows, it’s easy for similar or identical content to appear across multiple articles, sometimes without you even realizing it. Managing these duplicates manually can be time-consuming and inconsistent. Document360’s duplicate content detection gives you a smarter, more efficient way to identify, review, and streamline repeated content throughout your knowledge base.
In this tutorial, we’ll walk through how to enable duplicate content detection, understand match reports, convert repeated content into snippets, and manage duplicate suggestions efficiently across your knowledge base.
-
Enabling Duplicate Content Detection
To turn on the feature:
- Go to Settings > AI Settings > Eddy AI in the Knowledge Base portal.
- Open the AI Premium Suite section.
- Enable the Duplicate content detection toggle.
Once enabled, Eddy AI Assistant will activate duplicate detection capabilities. You can then run scans and access reports from the Snippets page or the Knowledge Pulse module.
-
How Duplicate Detection Works
The duplicate content detection feature in Knowledge Pulse generates detailed reports and provides tools to manage duplicates.
- Start a full scan by clicking Scan Now.
- Once the AI completes the scan, you’ll receive a list of duplicated content along with suggested snippet names, occurrence counts, and the articles where the content appears.
-
Understanding Match Percentage
In some cases, duplicated content may include small formatting or wording differences.
- The match percentage indicates how closely the content matches.
- The AI recommends duplicate items only when the similarity score is 80% or higher.
-
Converting Duplicates into Snippets
To turn duplicated content into a reusable snippet:
- Select the related articles you want to update.
- Click Add Snippet and Update Articles.
If there are suggestions you don’t want to use, select Ignore. Ignored items move to a separate list and can be restored later if needed.
The primary suggestion shown for each duplicate is pulled from the oldest article containing that content. You can edit the suggestion, and the match percentage updates automatically based on the changes.
If an existing snippet already matches the duplicated content, you’ll see a tag indicating it. You can then click Update Articles to replace the duplicated content with the existing snippet.
-
Preview Suggestions Before Updating
Before applying changes, you can review suggestions using the Preview option.
- Open a side-by-side comparison of the duplicated content and the suggested snippet.
- Review differences before deciding whether to apply the update.
This helps ensure accuracy and consistency before making bulk changes across articles.
-
Access Reports Across Modules
Duplicate content reports are available across multiple areas of Document360.
- View reports inside the Knowledge Pulse module.
- Access the same reports directly from the Snippets section.
- Manage duplicate suggestions and snippet updates from a centralized workflow.
-
Streamline Knowledge Base Maintenance
Duplicate content detection helps improve documentation quality and consistency over time.
- Reduce repeated content across articles.
- Create reusable snippets for faster updates.
- Improve scalability and maintain consistency across your knowledge base.
By using duplicate content detection in Document360, teams can simplify content maintenance, reduce redundancy, and keep documentation more consistent at scale.
